THE CHALLENGE
The company embarked on a digitalization initiative aimed at making its business processes more efficient, controlled, and measurable. Among the priorities identified was the optimization of the order validation process, with the following objectives:
- Automate the updating of information in the SAP management system.
- Closely monitor the progress and status of orders.
- Accurately measure order processing times.
Before the implementation, orders and order confirmations were managed entirely manually, using paper-based documents or email exchanges handled exclusively by the Purchasing Department. The fragmented nature of the information made controls more complex and limited the overall efficiency of the process.

With the implementation of ARXivar Document & Workflow Platform and TaskMail, Oesse digitized its order management and confirmation process, making it faster, more traceable, and integrated.
- When an order is entered into SAP, the document is automatically generated in ARXivar through a connector.
- The supplier automatically receives the order via TaskMail and can confirm it by interacting directly with the system. Status updates are immediate and centralized.
- The Purchasing Department has an up-to-date view of pending or unconfirmed orders, enabling more effective monitoring and follow-up activities.
