Un centro médico privado polivalente, dedicado a ofrecer una amplia gama de servicios sanitarios y constantemente a la vanguardia de las innovaciones tecnológicas, detectó la necesidad de optimizar la gestión de documentos dentro de su sistema operativo. El objetivo principal era adoptar un enfoque sin papeles, reduciendo el uso de papel y mejorando la eficiencia general de la gestión documental.
En concreto, el centro necesitaba centralizar la gestión de diversos procesos y documentos en una única herramienta para digitalizar por completo los historiales médicos de los pacientes.
Este proceso de digitalización debía incluir la gestión de documentos cruciales como consentimientos de privacidad, presupuestos y reclamaciones de seguros.

La solución implantada en el centro médico introdujo un sistema avanzado basado en firmas grafométricas y gestión digital de documentos, que abarca varias áreas operativas clave, eliminando por completo la necesidad de soportes en papel.
Digitalización de los consentimientos: se ha adoptado la firma grafométrica para simplificar y digitalizar el proceso de gestión de los consentimientos. En el primer acceso a la clínica, el paciente se registra digitalmente. Los formularios de consentimiento se elaboran sin impresiones en papel y se muestran en una tableta grafométrica para su firma. Al final del proceso, los documentos firmados se archivan automáticamente en el sistema documental, lo que permite consultarlos fácilmente en el futuro.
Digitalización de los presupuestos: los presupuestos se elaboran en el software empresarial H2O y se guardan en formato PDF. El software ARXivar adquiere de forma automática los archivos PDF, interpreta su contenido y envía un correo electrónico automático al paciente. Cuando el paciente responde aceptando el presupuesto firmado, éste se guarda en una carpeta y es adquirido automáticamente por el software, que actualiza el estado del presupuesto a «Aceptado». Este proceso permite generar estadísticas detalladas de los presupuestos, mejorando la transparencia y la eficacia de la gestión.
Gestión de las reclamaciones de seguros: para mejorar el seguimiento de las reclamaciones de seguros, se ha implantado un proceso digitalizado que prevé la importación automática de los expedientes instruidos en el software H2O, la adquisición de la documentación mediante el reconocimiento de códigos de barras y el envío automático de un correo electrónico a la compañía de seguros o a una dirección interna para su verificación. Al contabilizar el pago, el sistema actualiza automáticamente el estado del expediente. Un sistema de alerta avisa a los operadores de las reclamaciones enviadas y aún no cobradas transcurrido un determinado plazo. Este proceso proporciona una contabilidad precisa de las reclamaciones de seguros, clasificándolas en adquiridas, enviadas y liquidadas.
La implantación de estas soluciones avanzadas ha permitido reducir de forma significativa el tiempo de gestión y los costes operativos, mejorando la satisfacción de los operadores y garantizando una gestión completamente sin papeles y más eficaz.
